Privacy Policy
Backroom is retail operations software for furniture stores, operated by Forward Furniture in Kelowna, British Columbia, Canada. This policy explains what personal information the service collects, why, and who touches it. We follow Canada's PIPEDA and British Columbia's PIPA.
What we collect
- Customer records a store keeps about its customers: name, phone number, email, delivery address, what was purchased, order and delivery history, and notes staff add.
- Messages and calls: the content of SMS messages sent and received through the service, and logs of calls and voicemails to the store's business number.
- Staff records for store employees using the dashboard: name, phone, email, role, work schedules, clock in/out times, time-off requests, and sales attribution.
- Sales leads: contact details and product interest a store records about prospective customers.
How we use it
To run the store: scheduling and confirming deliveries and pickups, sending order status updates, following up with sales leads, tracking inventory and warranties, staffing, and sales reporting. We do not sell personal information, and we do not use it for advertising.
Automated text messages
The service sends automated SMS on the store's behalf: order status updates, pickup and delivery confirmations, review requests, and a short follow-up sequence to sales leads who asked about a product. Replying STOP, or asking staff, opts a number out; opt-outs are honoured across all automated messaging.
Who processes data for us
Backroom runs on infrastructure and integrations that process data under their own agreements. Depending on how a store is configured these are:
- Supabase — database and file storage (hosted in the USA)
- Vercel — application hosting (USA)
- Lightspeed — point-of-sale integration
- Shopify — e-commerce integration
- Quo — SMS and call handling for the store's number
- Google Maps — address lookup and drive-time estimates
- Wondersign — in-store catalog kiosk lead capture
Because some processors are in the United States, personal information may be stored or processed outside Canada and can be subject to the laws of those jurisdictions.
AI-assisted tooling
We use AI-assisted tools in building and maintaining the software. Customer and staff personal information is not used to train AI models, and no automated decision with legal effect is made about you by AI.
Retention and deletion
Records are kept as long as they are needed as business records of the store. You can ask for your personal information to be corrected or deleted; message the store you dealt with, or contact us below, and we will action it unless a legal obligation requires keeping it.
Security
Access to the dashboard is restricted to authenticated store staff with per-person accounts and per-page permissions. Uploaded files live in private storage buckets. Data moves over encrypted connections.
